A run of show is a minute-by-minute, highly detailed production timeline — often formatted as a spreadsheet — that serves as the single source of truth for every element of a live event, broadcast, conference session, or recorded program. It coordinates speakers, AV cues, stage movements, graphic triggers, music, lighting, and backstage logistics into a precisely timed sequence that everyone — from the executive producer to the stage manager — works from.

Example

A run of show for a conference opening ceremony reads: 08:58 — House lights to half, pre-roll music fade. 09:00:00 — Opening video plays (2:15). 09:02:15 — MC enters stage left, welcome remarks (3:00). 09:05:15 — Minister introduced, enters stage right. 09:05:30 — Minister keynote (12:00, prompter loaded, confidence monitor on). 09:17:30 — Minister exits stage left, MC returns... Every second is accounted for. Every stakeholder knows exactly where they need to be and when.

Why It Matters

Live events do not tolerate ambiguity.
